Terms and Conditions

The rules for using SmartPilot, in plain language.

Effective from 16 Oct 2026.

1. Who we are

These terms are an agreement between you and SmartPilot Innovations Private Limited ("SmartPilot", "we"). By creating an account or using SmartPilot, you agree to them. If you use SmartPilot for a clinic or hospital, you confirm you are authorised to accept these terms on its behalf.

2. Your account

  • Give accurate details when you sign up and keep them up to date.
  • Keep passwords private. You are responsible for activity under your account and your staff's accounts.
  • Tell us promptly at hello@smartpilot.in if you suspect unauthorised access.

3. Free trial

New workspaces may get a free trial for the period shown on our pricing page. At the end of the trial, continued use needs a paid plan. If you don't subscribe, access may be limited, but you can still request your data.

4. Subscriptions and billing

  • Plans, prices and limits are as shown on our pricing page at the time you subscribe. Taxes are added where applicable.
  • Subscriptions renew automatically each month or year until cancelled.
  • You can cancel at any time; access continues until the end of the paid period. Partial periods are not refunded unless required by law or stated otherwise.
  • If a payment fails, we may give a short grace period before limiting access.
  • We may change prices with advance notice; changes apply from your next renewal.

5. Your clinic's responsibilities

  • Obtain any consent needed from patients before recording or sharing their information.
  • Ensure clinical records, prescriptions, bills and reports entered in SmartPilot are accurate.
  • Follow the laws and professional rules that apply to your practice.
  • Connect your own email, messaging and payment providers where needed, and follow their terms.

6. SmartPilot AI

AI features produce drafts and suggestions to assist your team. They do not diagnose, prescribe or replace professional judgement. A qualified person must review every draft before it is saved or shared. AI use is subject to the monthly allowance of your plan.

7. Acceptable use

  • Do not misuse SmartPilot, attempt to access other organisations' data, or interfere with the service.
  • Do not upload unlawful content or use SmartPilot to send spam.
  • Do not copy, resell or reverse-engineer the service.

8. Your data

Your clinic owns the patient and business data it enters. We process it only to provide and support SmartPilot, as described in our Privacy Policy. You can request an export of your data while your account is active and for a reasonable period after it ends.

9. Suspension and termination

We may suspend or end access if these terms are seriously breached, payments remain unpaid after the grace period, or we are required to by law. Where reasonable, we will give notice first. You may stop using SmartPilot at any time.

10. Availability and changes

We work to keep SmartPilot available and reliable but cannot promise it will be uninterrupted or error-free. We may improve, change or remove features; we will tell you about significant changes.

11. Limitation of liability

To the extent permitted by law, SmartPilot is not liable for indirect or consequential losses, or for clinical decisions made using the service. Our total liability for any claim is limited to the fees you paid us in the 12 months before the claim.

12. Governing law

These terms are governed by the laws of India. Disputes are subject to the courts at the location of our registered office.

13. Changes to these terms

We may update these terms. We will post the new version here and, for important changes, notify account owners before they take effect.
